Welcome to our careers  page.  My name is Caroline Davison and I am Berwins' Operations Director.  Berwins is proud to have been listed in the Legal 500 and Chambers Directories for many years and is Lexcel accredited and is an Investor in People. It also holds the Law Society’s CQS accreditation for the quality of its conveyancing work.

Job Title:     PA to Director – Legal Services and Marketing
 
Reports to: Marketing Director/Head of Conveyancing
 
Appointment details: Permanent, Full Time (37 hours per week), occasional need for weekend and evening work
 
Salary:  £18k+, within band applicable to role
 
Berwins’ business hours are 9.00am to 5.30 pm Monday to Thursday, 9.00 am to 5.00 pm Fridays, with core hours of 10.00 am to 4.00 pm.  Berwins operates a flexi-time system but the successful candidate must be available for Berwins’ business hours and occasional evening/weekend work.
 
Main objectives of the post
 
The PA  supports the firm’s Marketing Director and Head of Residential Property with her client facing work and marketing and management role to deliver a high quality client experience in the area of residential property work and in her marketing role  to raise the Company’s profile, maximise income  and contribute creatively to the  continued growth and development of the organisation. The PA  will be involved in all administrative aspects of marketing, most particularly database maintenance, event management,  supporting the PR and press function and digital media.  He or she will provide support to a small client caseload by assistance, secretarial support and typing support.
 
Person Specification
 
The PA will be efficient,  well-organised and pro-active in both the client facing work and marketing duties.  They will be numerate and able to understand accounts as they apply to conveyancing work. Able to work on their own initiative, the ideal candidate will have a  positive approach and the confidence to put forward their own ideas when appropriate. In  particular, strong organisational skills, accuracy  and ability to analyse and report on data is required.
 
Key responsibilities
 
Conveyancing support :
  1. Provide assistance, secretarial services and  typing support (using a digital dictation system), to head of residential property and other lawyers when required
  2. Open new files , update case management system.
  3. Carry out   conveyancing searches.
  4. Accept  reminder reports from the case management system taking appropriate action as required.
  5. Update clients, estate agents and  other solicitors, taking actions agreed with lawyer   and report back on progress .
  6. On a daily basis tie incoming post up with client files, update case  management system, liaise with lawyer  as to required tasks, deal with queries, agree action etc. Follow up matters and action points arising from meetings. Prepare files for completion.
  7. Obtain  redemption figures, liaise with lenders  regarding outstanding items, chase documentation and searches.
  8. Carry out completions – deal with redemptions and  transmission  of funds.   
  9. Deal with post-completion matters.
  10. Undertake any other reasonable duties as required by lawyer.
 
Marketing:
 
  1. Input in to design of and analysis of  questionnaires
  2. Organising and hosting seminars, social events  and exhibitions
  3. Assisting with promotional activities
  4. Assisting in the preparation of printed material,  ensuring accuracy by proofreading and editing and designing or briefing designers
  5. Being  responsible for developing and maintaining all mailing lists ensuring they are kept up to date
  6. Assisting  with distribution of marketing material.
  7. Digital Media and Website:
  • play an active role in updating and developing all digital media, including the content of www.berwin.co.uk  to include:
  • Liaising with IT manager and external website designer and host.
  • Regularly updating copy on the website using content management system.
  • Obtaining website statistic reports.
  • Online publicity
  • Managing and developing email lists,   sending out regular e-newsletters.
  • Identifying key opportunities internally and externally.
  • Developing and maintaining all aspects of Berwins’ social media applications.
  • Any other duties deemed appropriate via discussion with the Marketing Director  
 
Essential skills, knowledge & experience
 
Outstanding verbal and written communication skills
 
Good numeracy and understanding of simple accounting as it relates to conveyancing work
 
Excellent interpersonal and organisational skills
 
Creative, practical and able to work effectively under pressure and to tight deadlines
 
High level of computer literacy including Powerpoint, word processing, spreadsheets, databases, email and internet
 
Ability to work in a team
 
Ability to manage the conflicting demands of different types of work each carrying their own deadlines and challenges
 
Desirable skills, knowledge & experience
 
Knowledge of  legal practice
 
Experience of  marketing  or conveyancing
 
Relevant professional qualification
 
Experience of managing website content and creating e-publications

Job Title:     Secretary
 
Reports to: Team Leader
 
Appointment details: Permanent, Full Time (37 hours per week); additional overtime when required
 
Berwins’ business hours are 9.00am to 5.30 pm Monday to Thursday, 9.00 am to 5.00 pm Fridays, with core hours of 10.00 am to 4.00 pm.  Berwins operates a flexi-time system subject to the overall needs of the business
 
Salary:  £18k+, within band applicable to role
 
Main objectives of the post
 
The secretary supports the Team Leader and lawyers in that work area (to be confirmed) with their client facing work by secretarial and typing support.  He or she will also provide support for any management role of the relevant Director.  Working as part of a team, the role involves delivering a high quality client experience, assisting in developing working practices and contributing creatively to the  continued growth and development of the organisation.
 
Person Specification
 
The secretary will be efficient, well-organised, grammatically-accurate, good typing speed, numerate and excellent telephone skills.  The ideal candidate will have be proactive with a  positive approach and the confidence to put forward their own ideas when appropriate.
 
Key responsibilities
 
Conveyancing support :
  1. Provide assistance, secretarial services and typing support (using a digital dictation system), to the Team Leader and other lawyers.
  2. Deal with new enquires under our free half hour scheme including conflict checks and setting up appointments.
  3. Open new files , update case management system.
  4. Carry out   basic paralegal work under instruction, e.g. obtain office copy entries.
  5. Accept reminder reports from the case management system taking appropriate action as required.
  6. Update clients, other solicitors and relevant third parties; taking actions agreed with lawyer   and reporting back on progress .
  7. On a daily basis tie incoming post up with client files, update case  management system, liaise with lawyer  as to required tasks, deal with queries, agree action etc.
  8. Organising meetings, conferences with counsel  etc.
  9. Sorting bulk copying, including putting together instructions to counsel, trial/hearing bundles etc.
  10. Be responsible for getting signed, put up and ready for collect ion
  11. File closing
  12. All financial transactions, liaising with Accounts Team
  13. Undertake any other reasonable duties as required by lawyer.

Job Title:   Administration Assistant Apprenticeship
 
After the success of our first Apprentice, we are now looking for a second Apprentice to join our Operational Support Team. 
 
The position is to train as an Administration Assistant and is part of the Apprenticeship Scheme which is run by Harrogate College.
